Change Send From Email Address
How do I change the 'Send From' email address so replies come to my inbox?
Tourplan is configured with a single default 'Send From' email address. This means all outgoing emails appear to come from one specific email account.
However, there are two methods to ensure replies are directed to the desired email address:
-
Enable the Send As feature within your email provider’s email settings
-
Use a Reply To address command within your Tourplan message template email container.
Overview
Coordinating email communications for various roles, teams, and contacts can be difficult when relying on a single email account.

Understanding Your Options
-
Using the 'Send As' Feature
The 'Send As' feature enables users to send emails from one account that appear to come from a different email address, making it look as if the message was sent directly from that alternate address.
NOTE: To set this up, you’ll need your IT department to access your email provider’s settings to configure this function.

Using a 'Reply To' Email Container Command
If enabling 'Send As' isn’t feasible for your organisation, alternatively, the 'Reply To' address can be specified within the Tourplan message definition.
The 'Reply To' command in the email container section of the message definition is used to tell email clients to send replies to the chosen address, even though the email was sent from a different account.
How it works:
-
Emails are still sent from the default Send From address
-
When a recipient replies, their message goes to the designated Reply To address
Example email command tags with Reply To
| <EMAIL_CMD_START> | Indicates beginning of email send command |
| To: <aep> | The email "To" line - e.g., <aep> = the Agent email address from the agent contact list |
| From: <ue> | The email "From" line - e.g., <ue> = the Tourplan users email address |
| Reply To: <ue> | The email "Reply To" line - e.g., <ue> the users email address is used when the email is replied to |
| Subject: | This can be a combination of text and substitution codes - e.g., "Booking Confirmation for <bn> Travelling on <td> |
| <EMAIL_CMD_END> | Indicates end of the email send command |
Benefits
-
Simple to implement without changing email account settings
-
Useful for routing responses to specific teams or individuals
-
Fully managed within Tourplan
Considerations
-
Each message template will need to have the Reply To command added to the EMAIL CMD tags
Conclusion
Expanding beyond a single Send From address greatly improves communication workflow. For comprehensive control over multiple sender addresses, ask your IT department about enabling Send As. If you simply want to direct replies for specific messages to other inboxes, updating the Reply To address in templates is a quick and effective solution. Use either or both approaches as best fits your team’s needs and IT environment.
